Automating the business process for procurement of products and services in Zhaikmunai LLP

Zhaikmunai LLP (a company in the Nostrum Oil & Gas PLC group of companies)

Project Objectives

Ensuring continuous production process through unification, centralization and improvement of production efficiency of the company's procurement processes as well as enhancing the monitoring and quality control of procurement processes, stock and material flow management.

As part of the project between May 2014 and December 2015 ITPS consultants provided the following services:

  • Analyzed the existing business process of products and services procurement
  • Developed a design concept describing required procurement business process
  • Completed configuration of SAP ERP (MM)
  • Developed testing scenarios and performed system tests
  • Developed user manuals and roles
  • Provided user training
  • Organized user support for the trial operation period

The solution includes:

  • Generating annual procurement requirements, their approval and consolidation
  • Checking available stocks; creating a procurement plan
  • Issuing and agreeing current purchase requisitions with a reference to the approved procurement plan
  • Registering a signed contract and issuing purchase orders with a reference to agreed operational requisitions
  • Making sure that the contract value is not exceeded
  • Introducing supplier qualification processes, prohibition of work with suppliers which have not successfully undergone qualification
  • Tracking supplies (creating a shipping report), registering material deliveries to the warehouse, registering completion certificates
  • Registering incoming invoices received from suppliers, including those related to import supplies

Result

  • Completed automation of the products and services procurement business process 
  • Increasing transparency of the procurement process
  • Integration of consumer requirements in the procurement process. The owners have real-time access to both status reports for bids and stocks 
  • Creation of a catalogue of activities and services; introduction of a service accounting approach based on a catalogue rather than materials directory
  • Implemented processes of registering completion certificates and their approval in the system
  • Real-time notification of system users by email of documents received for review (requisitions, orders, and service schedules), reducing the sign-off period.
